SMARC Privacy Policy

Who we are:

Our website address is: https://smarc.org. This is the official site and official record keeping database of SMARC (Southwest Missouri Amateur Radio Club). As a visitor of the site, you consent to the below privacy policies and terms of use. As a member of the club, your membership automatically grants consent of acceptance of the follow policies. If, for any reason, as a visitor of the site or a member of the club you do not consent and agree to these policies, we request you withdraw your membership and/or immediately discontinue use of the site. No refund shall be given for a paid membership withdraw for any reason.


What does this privacy policy apply to?

This policy applies to this website(s) and its sub-sites or sections; any SMARC or affiliate (W6R, WØEBE, Greene County SkyWarn) social media, electronic mail accounts, physical distribution; and any club sanctioned events, meetings or activities.

For most purposes, including this policy, any affiliation of W6R, WØEBE or Greene County SkyWarn shall fall under the same ownership and properties as SMARC general businesses.


What personal data we collect and why we collect it:

Comments and other online activity –

When visitors and members leave comments, posts, form submissions (including contact us) and other submissions (including media uploads) on the site we collect the data shown in those sections, as well as the visitor’s IP address and browser user agent string to help spam detection.

Media –

By being a member of the club, or a visitor to any club sanctioned event, you consent, by default, to having your person captured via still or moving images as well as your voice on recordings or live on amateur radio bands. These captures shall be used as the club see’s fit for non-profit uses and promotions of the club; Including, but not limited to, advertisements, club posts, club events and more. Any still images containing at least 1/2 of your person may be requested to be removed from public view, but not deleted permanently. Moving images, voice recordings and live publications cannot be requested to be removed due to the loss of record it would entail (for example, having to remove a live video from facebook due to your face being in frame at one point in time) unless it violates any state or federal privacy law’s (see RSMo expectation of privacy records for images and videos). SMARC fully complies with all applicable State and Federal Privacy Laws.

Any image sent to or uploaded to SMARC in any fashion shall immediately become the usable property of SMARC and its affiliates. Any content sent to or uploaded SMARC may be requested to be fully withdrawn in all respects for the period of 30 days after the date of being sent or uploaded. If you upload images or videos to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Removal of certain media’s may be requested here. Please note, we cannot comply with all requests.

Your contact information –

Your contact information as a visitor shall not be visible or shared to anyone accept site administrators and shall not be used for anything accept blind analytics or for the due process of a criminal investigation.

As a member, some of your information will be visible to logged in members of the site. Although most information is voluntary and up to the member to share, there are a few pieces of information that will publicly limited to availability (i.e. to logged in members of the club). Those information articles are; Full legal name, FCC call sign, subscribed electronic mailing address, VEC standing with the ARRL, membership start and end dates and the status/type of your membership.

Cookies –

If you leave a comment or other submissions on our site you may opt-in to saving your name, email address and other information in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites –

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Analytics –

We anonymously compile public user information (such as IP address, browser, OS version and other typical items) for use in analytics to make this site better, faster and more user friendly. These analytics say with SMARC and are not sold or distributed to 3rd parties.

Who we share your data with –

In short, no one. All data remains with SMARC. There are a few exceptions to this. Upon a subpoena from any recognized law enforcement agency, we shall comply with all legal requests for any part of any date we obtain directly or indirectly.

An additional exception is basic personal information you chose (or chose based on being a member) to share with other logged in members via the club roster and the VEC listings page or via chats, message boards, comments or other site uses at your voluntary discretion of usage.

How long we retain your data

If you leave a comment, post, form submission (including contact us) and other submissions, the content and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up information needed automatically instead of holding them in a queue or separate database.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username or remove their email or password). Website administrators can also see and edit that information. This information is never removed, even if your membership expires or you request your membership to be removed as it part of the official record keeping of SMARC. Your current password metadata can be manually removed, if needed. Though this information is kept in an encrypted hash.

What rights you have over your data –

If you have an account on this site, or have uploaded content, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, record keeping or security purposes. This includes all forms of media that become the usable property of SMARC after submission or capture unless otherwise state in the “Media” section above.

Where we store your data –

We store your data in a SOC 2 secure datacenter facility under the direction of a local and competent IT provider. All data is considered secure both physically and virtually, to the extent possible by professionals in the IT field.
